SU Google Account Changes After Graduation

Summary

Information for SU graduates and those leaving the University regarding Google Drive data retention and how to download files to avoid data loss.

When you graduate from SU, your SU Google account is transitioned from a Student account to an Alumni account. When this occurs, your account will automatically change to a Gmail-only account.

What does this change mean for you?

What you KEEP: You will retain access to your Shenandoah University Gmail and Calendar, allowing you to still be able to send and receive emails using your account.

What you LOSE: You will lose access to all other Google Workspace applications and the data stored within them. This includes Google Drive (Docs, Sheets, Slides, etc.), Google Photos, Google Keep, and Google Sites.

Required Action: Because this transition will result in the permanent deletion of your files stored in Google Drive and Google Photos, it is imperative that you back up your data before graduation. Once the transition occurs, the SU Office of IT will not be able to recover any lost files.

Once your SU Google Drive files and Photos are deleted, they will be inaccessible and unrecoverable. Please do not delay in securing your digital coursework, personal files, and memories, and begin downloading your data as soon as possible.

If you would like to delete your Google Drive files and Google Photos yourself, simply drag and drop everything you wish to delete to Trash in your Drive/Photos. Believe it or not, doing this is actually a big help to SU!

If you’re continuing your education here at SU in the Fall or are delaying your graduation, this will not apply to your account until you graduate or withdraw from the university. If you are an SU employee who is graduating, these changes will NOT apply to your SU Google account.
